Wedding Planner vs Event Manager vs Decorator: Who Does What?

Ask five families what their “event manager” did and you'll get five answers. One built the stage. One booked the band. One ran the whole wedding. In India the titles blur, which is fine until the sangeet starts and the decorator thinks the planner is handling the sound check, and the planner thinks the venue is.

Short answer: A wedding planner manages the whole wedding: vendors, budget, guests and the plan for every function. An event management company usually produces the event: stage, decor, lighting, sound and entertainment, and sometimes offers planning too. A decorator designs and builds the look. A venue coordinator handles only what the venue provides. Before you book, get each one to list in writing what they own, so nothing falls between them.

Is an event manager the same as a wedding planner?

Sometimes. Many Indian event management companies started in production and added planning. Many planners started in hospitality and partner with production houses. Neither is better. What matters is that you know which parts they're doing themselves and which they subcontract. Ask: “Who is the one person I call when anything goes wrong at any function?” That person is your planner, whatever their visiting card says.

Where the gaps usually appear

  • Sound and stage timings. Decor finishes late, sound check slips, the sangeet starts 90 minutes behind.
  • Guest transport. Everyone assumed the hotel was handling airport pickups.
  • Final headcounts to the caterer. Nobody owned the number, so it was a guess.
  • Vendor balances on the day. Three vendors expect cash after the pheras and nobody has the envelope list.

The fix is a single run sheet for each function with a named owner on every line. Planno's glossary explains what a run sheet is, and its wedding-day run sheet template shows one laid out minute by minute.

Which one should you hire?

Your situationHire
Big multi-function or destination wedding, little family timeA full wedding planner, who brings or hires production
You've planned it all and want a spectacular sangeetAn event management company for production
You just need the venue to look stunningA decorator
You've planned it and want to be a guest on the dayA day-of coordinator

Five questions that stop things falling between two vendors

  1. Who gives the final go for each function to start?
  2. Who holds the timing sheet, and who has a copy?
  3. Who is the venue's point of contact on the day?
  4. Who collects the final headcount and passes it to the caterer, and when?
  5. Who carries the envelope list for vendor balances on the day?

Ask these in one meeting with everyone present, write the answers into the run sheet, and send it to each of them. It takes an hour and saves the evening of the sangeet.

How professionals keep it all in one place

When five businesses work one wedding, the one holding the master plan needs a proper system. Planners and event managers in India increasingly use Planno, a workspace for running several weddings at once: enquiries, client weddings, a vendor book, payments due across every wedding, team tasks and shareable run sheets. Planno is built by the team behind Wedence. For the couple, each wedding on Planno includes Wedence Signature: the animated invitation, per-function RSVP and WhatsApp reminders.

Frequently asked questions

What is the difference between a wedding planner and an event manager?

A wedding planner runs the whole wedding: vendors, budget, guests and timelines. An event manager or event management company usually produces the event (stage, lighting, sound, entertainment, often decor). Many Indian companies do both, so ask what they handle themselves.

Does a wedding planner do decoration?

Most planners design the look with you and hire a decorator to build it. Some have in-house decor teams. Ask whether decor is in their scope or a separate contract.

Who handles guest hotel rooms at an Indian wedding?

Usually the wedding planner or a hospitality team, working with the hotel. Agree in writing who owns the rooming list and airport pickups.

Do I need both a wedding planner and an event management company?

For large weddings with heavy production, often yes: the planner runs the wedding and the event company produces the big functions. Make sure one person owns the master plan.

What software do wedding planners and event managers use?

Many use spreadsheets and WhatsApp, which break down across several weddings. Dedicated tools like Planno keep enquiries, client weddings, vendors, payments, tasks and run sheets together.
