How to Choose a Wedding Planner in India: 15 Questions to Ask First

Every wedding planner's Instagram looks the same: a palace, a drone shot, a bride laughing at nothing. None of it tells you who answers the phone at 2am when the baraat bus is lost. That's what you're actually hiring, and you find it out by asking the right questions before you pay an advance.

Short answer: To choose a wedding planner in India, shortlist three who have run weddings of your size and tradition, meet each one, and ask the same questions: what exactly is in scope, how they charge, whether they take vendor commissions, who from their team is on site, how they track guests and RSVPs per function, and what happens when plans change. Ask to see a real run sheet from a past wedding. Hire the one whose answers are specific, not the one with the best reel.

Where do you find a good wedding planner?

  • Couples who married in the last two years. Ask what went wrong, not what went right. Everyone's wedding was “amazing”.
  • Your venue. Banquet managers see every planner who works there and know who turns up on time.
  • Vendors you've already booked. A photographer who has shot forty weddings knows which planners pay on time and which ones panic.
  • Instagram, carefully. Look for full real weddings with the couple's names, not stock-looking reels. Then ask the planner to put you in touch with that couple.

15 questions to ask a wedding planner

#QuestionWhat a good answer sounds like
1How many weddings like ours have you done this year?A number, and examples of the same size and tradition
2What exactly is included, function by function?A written scope per function, not “everything”
3What is not included? They tell you without being pushed
4How do you charge: flat fee, percentage, or per function? One clear model, in writing
5Do you take commission from vendors?A straight yes or no, and how it's disclosed
6Who pays vendors: us directly, or through you?A clear flow, with receipts either way
7Who from your team will be on site, and for which functions?Names and headcount, not “our team”
8Can we see a run sheet from a past wedding? They show one, minute by minute, with owners
9How do you track guests and RSVPs for each function?A system, not “we'll make an Excel”
10How do you handle outstation guests' rooms and pickups?A rooming list and an arrival plan
11What happens when we change the scope or the budget?A written approval step before anything is spent
12How often will we hear from you, and on which channel?A fixed rhythm, such as a weekly update
13What's your cancellation and postponement policy?Already in their contract
14What do you need from us, and by when?A list with dates
15Can we speak to two couples you planned for last season?Yes, without hesitation

Questions 4 to 6 are the ones families skip because money talk feels awkward. They're also where most disputes start. If you want to understand the fee models before the meeting, Planno's guide to how Indian planners price their services explains each one from the planner's side.

Red flags when hiring a wedding planner

  • They can't tell you who will be on site for the sangeet.
  • The quote is one number with no breakdown.
  • They push one decorator or caterer hard and won't say why.
  • There's no contract, or the contract has no cancellation clause.
  • Every answer about guests is “don't worry, we'll handle it”.

Ask them to show you their system, not describe it

The best test takes two minutes. Ask: “If I asked you right now how many people are confirmed for the mehndi at your current wedding, how would you find out?” A planner who has to call three people doesn't have a system. A planner who opens a dashboard does.

More Indian planners now run their business on a dedicated workspace such as Planno, which keeps enquiries, every client wedding, vendor payments and the team's tasks in one place. Planno is built by the team behind Wedence. A side benefit for you: every wedding a planner runs on Planno includes Wedence Signature for the couple, which covers premium animated invitations, per-function RSVP, WhatsApp invites and reminders, and separate links for guest groups.

When should you hire a wedding planner?

As soon as you have a rough date, city and budget. Good planners book out for peak muhurat dates, and the earlier they start, the more vendor choice you keep. If your wedding is in a few weeks, it can still be done; it just needs a planner who works fast and says no to things.

Frequently asked questions

How do I choose a wedding planner in India?

Shortlist three planners who have done weddings of your size and tradition, ask each the same questions about scope, fees, vendor commissions, on-site team and guest tracking, ask to see a real run sheet, and speak to two of their past couples before paying an advance.

What questions should I ask a wedding planner?

What is included per function, what isn't, how they charge, whether they take vendor commissions, who is on site, how they track RSVPs per function, how they handle scope changes, and whether you can speak to past clients.

Do wedding planners in India take commission from vendors?

Some do, some don't. Neither is wrong, but it should be disclosed. Ask directly and get the answer in the contract.

When should I book a wedding planner?

As soon as your date, city and approximate budget are fixed. For peak-season muhurat dates, book early, because good planners and vendors fill up.

What should a wedding planner show me before I hire them?

A written scope per function, a sample contract, a run sheet from a past wedding, and how they track guests and RSVPs. Planners on a workspace like Planno can show you a live wedding dashboard.
