Most couples start their guest list in a spreadsheet, and most of those spreadsheets are unusable within a month — not because a spreadsheet is the wrong tool, but because the list was set up as one flat column of names when an Indian wedding needs something with more structure. Here is the structure that survives contact with a real wedding.
Start with households, not people
You invite the Deshpandes, not four separate Deshpandes. Grouping by household is what makes the list usable later: one invitation goes to the household, one person in it is your point of contact, but each member still has their own RSVP, because the parents may come to everything and the son only to the reception. A list built on individual names with no household grouping cannot answer “how many invitations do we send?” without being rebuilt.
Split the list by function from day one
The single most common mistake is one guest list for the whole wedding. Functions have wildly different sizes — the haldi is family, the mehndi is family and close friends, the reception is everyone your parents have ever met. If invitation and RSVP are tracked per function from the start, you get an accurate headcount for each caterer. If they are not, you will be reconstructing five lists from one in the last fortnight.
The columns that actually matter
Our free template ships with the full set, but if you are building your own, these are the ones couples always wish they had added earlier:

Keep invited and responded as separate questions
“Have we invited them?” and “have they replied?” are different columns, and collapsing them into one status field is why guest lists become untrustworthy. A guest can be invited and silent, or can reply having never been formally invited because your link was forwarded in a family group. Both are normal. Track them separately and the list stays honest.
Chase by group, not one by one
Around a third of guests will not respond to the first invitation. Chasing them individually is a week of evenings. Filtering to “bride's office colleagues who have not answered about the reception” and sending one round of WhatsApp reminders is an afternoon. This is the practical reason the relationship-group column is worth filling in properly at the start.
