A generic CRM models a deal. A wedding is not a deal, it is five events, two families, a crew per function and money that arrives in instalments. These are the criteria:
- Are functions first-class? Mehendi, sangeet and reception have different dates, venues, crews and costs. A CRM that stores one date per wedding loses all of that.
- Do quotations go out the way clients actually read them? In India that is WhatsApp, and a link they open beats a PDF they lose.
- Does it track money as a plan, not a total? Advance, instalments, GST split, and what is overdue.
- Can you see real margin per wedding after crew, travel and vendor costs?
- What does it cost, and is there a commission? A percentage of your bookings is a very different price from a subscription.

Built around the shape of the work: one thread carries the enquiry, the wedding, the quotation and the money, and functions are first-class throughout — crew is assigned per function rather than per wedding, venue and reporting time travel with each one, and double-bookings are flagged before you accept.
Quotations go out on WhatsApp as a link the client opens rather than an attachment they lose, and when they accept, the payment plan writes itself. Job costs roll up into true margin per wedding, so you can see which weddings actually made money rather than which ones were large.

2. BanquetsCRM — best for venues
Its core CRM is free forever with no credit card: events with booking and conflict detection, a visual lead pipeline, invoices and quotes, venue and menu management, and team scheduling. Paid add-ons — POS, inventory, hotel, HR and payroll — start from roughly $9.99 to $35 a month, and communications run on pay-as-you-go credits.
What it does better than Folio: venue-specific tooling. If you run a banquet hall, menu management and room conflict detection are your actual job and Folio does not have them. Why it is second for most readers: it is organised around the venue rather than around a multi-function wedding crewed across days.
3. Plan a Wedding CRM — cheapest yearly licence
A Bangalore-based tool for planners, vendors, photographers, decorators and venues: lead management, calendar, quotation generation, itineraries, a vendor directory and image storage. Priced at ₹999 per quarter or ₹1,999 per year on 17 September 2026, with no free tier described.
What it does better than Folio: it bundles a vendor directory and itinerary sharing into the same licence, and ₹1,999 for a full year is the cheapest paid option here. Why it is third: no free tier to test with a real season, and functions are not modelled as first-class objects.
4. Wedding Book — photographer-focused
Aimed squarely at wedding photographers: online booking, customisable quotes, automatic payment reminders, invoices and billing. If you are a photographer and that list describes your whole workflow, it is worth a look. We could not retrieve current pricing on 17 September 2026, so ask them directly rather than trusting a figure from a comparison page.
5. A generic CRM — and why it usually fails here
Plenty of studios run on a general-purpose CRM, a spreadsheet, or both. It works until the wedding stops being one row: five functions on four dates, a different crew on each, an advance against the whole wedding and instalments dated from the first function. At that point you are maintaining the structure by hand, which is the work the software was supposed to remove.
Before you move a season into any of them
Test with one real wedding, not a demo record. Put in a genuine multi-function booking with its true dates, crew and costs, send a real quotation, and then try to answer three questions: what is overdue right now, who is reporting where on the sangeet, and what did this wedding actually earn after costs. A CRM that cannot answer all three is a contact list.

Why do functions need to be separate in a wedding CRM?
Because the work is separate. A mehendi on Thursday in one venue and a reception on Saturday in another have different crews, call times, costs and risks. Flattened into one record you cannot build a call sheet, cannot cost the wedding properly, and cannot spot a double-booking on the Thursday.
Can I move my existing client list into a new CRM?
Usually, if you can export a spreadsheet. The harder part is history — past quotations and payments rarely transfer cleanly. Most studios start a new season in the new tool and keep the old records readable rather than migrating everything.
